What Phyllax Monitors
| Schedule | What it checks |
|---|---|
| New leads assigned | New leads or contacts assigned to you today |
| Deals closing this week | Deals in your pipeline with a close date within 7 days |
| Stalled deals | Deals with no activity in the last 7 days |
| Overdue tasks | Overdue tasks or follow-up activities assigned to you |
| Deal stage changes | Deals that changed stage in the last 24 hours |
Notification Actions
When HubSpot finds something important, the notification card shows:
- Log a call — log a call activity on the contact or deal
- Add note — AI drafts a note you can edit before saving
- Move to next stage — advance the deal to the next pipeline stage
- Open Record — open the contact or deal in HubSpot
All action chips that involve writing (Add note, etc.) open the AI draft panel — AI generates a suggested response that you can edit before posting.
Troubleshooting
"403 Forbidden" error
Your private app token is missing required scopes. Go to HubSpot Settings → Private Apps → edit your app → add the missing scopes → save. You'll get a new token.
Deals not showing up
Make sure the deals are in a pipeline you have access to and that they have a close date set. Deals without close dates won't appear in the "closing this week" schedule.
"Token expired" error
HubSpot private app tokens don't expire, but they can be revoked. If your token stops working, check that the private app is still active in HubSpot Settings.
